Teamspace Settings — Retention

The Retention tab lets you configure how long meeting data is kept and what happens when data reaches the end of its retention period.


Why retention settings matter

Retention policies help you comply with your organisation's data governance requirements and ensure that sensitive meeting content is not kept longer than necessary.


Retention period

The default is 31 days on every plan. Adjusting it — shorter or longer — requires Professional tier or above.


Options:


  • 1 day — a rolling 24-hour window

  • 1 week

  • 2 weeks

  • 31 days (default)

  • 3 months

  • 6 months

  • 1 year

  • 3 years

  • 5 years


What to delete

Choose what happens to meeting data when the retention period expires:


  • Delete everything — removes all meeting data, including recordings, transcripts, and summaries

  • Keep digest summaries — preserves the meeting digest and enables summary search while removing recordings and transcripts


Note: If you choose Delete everything, Chat will no longer have anything to reference for that meeting once it's deleted — Chat's grounding depends on retained transcripts and digests.


Saving changes

Click Save to apply your retention settings. Changes apply to future data expiry cycles.


Notes

  • Retention settings apply at the Teamspace level. Different Teamspaces within the same account can have different retention policies.

  • Data is not deleted immediately when you save a new policy. Deletion occurs when existing data reaches the end of its newly configured period.

  • Deleted data cannot be recovered. Review your settings carefully before saving.

  • If your account reverts to the FREE tier (for example, after cancelling a paid subscription), retention resets to FREE's 31-day default — regardless of what you had configured previously. See the Plans article for what happens on cancellation.
