This guide walks you through everything you need to do to get Meetingz up and running — from logging in for the first time to having your bot record your first meeting.
New to Meetingz? This guide assumes you already have an account and have selected a plan. If you haven't signed up yet, see [Signing Up for Meetingz] first — Step 1 below picks up right after checkout.
Step 1 — Log in
Meetingz supports two ways to sign in: Magic Link (the default, no password needed) or Password. For your first login, use Magic Link — you can set up a password and/or 2FA later from your profile Settings tab if you'd prefer them.
Go to your Meetingz URL.
Enter your email address and request a login link.
Check your inbox for an email from Meetingz and click the link inside.
You'll be logged in and taken to the Dashboard.
The magic link expires after a short period. If it doesn't work, request a new one.
Step 2 — Understand your trial and your Teamspace
When you first log in, you'll land on the Dashboard, with a welcome banner and a Get Started prompt.
If you signed up yourself (Starter, Founder, Founding Member, Professional, or Premium), your account starts with a 14-day free trial on the tier you chose: full feature access, with recording hours and Ask Your Meetings (Chat) usage available at 50% of your plan's normal monthly allotment for the two-week trial. On day 15, you're charged automatically and move to full, unthrottled usage. If you cancel before then, you're not charged and your account drops to the FREE tier instead. See [Plans] for the complete trial mechanic. (Business and Enterprise accounts, set up by our sales team, don't go through a trial — they start directly on their subscribed tier.)
Your Scribe's email address — which you'll need in Step 4 — isn't on the Dashboard itself. It's available any time via the Copy Scribe link widget in the bottom-left of the navigation.
If you have access to multiple Teamspaces, the current one is shown next to the logo, with a switcher to move between them.
Step 3 — Set up your Teamspace
Before recording meetings, take a few minutes to configure your Teamspace:
General settings — Set your Teamspace name, description, and AI context (Teamspace Settings → General)
Add members — Invite your team to the Teamspace (Teamspace Settings → Members)
Configure email digests — Set up who receives meeting summaries after each call (Teamspace Settings → Email)
Set a retention policy — Decide how long meeting data is kept (Teamspace Settings → Retention)
Step 4 — Invite the bot to a meeting
To record a meeting, simply invite the bot to it via your calendar:
Open your calendar (Google Calendar or Microsoft Outlook).
Create or open the meeting you want to record.
Add the bot's email address as a guest or attendee.
Save the event.
The bot will join automatically at the scheduled meeting time. Supported platforms: Google Meet, Microsoft Teams, Zoom.
Step 5 — Review your first meeting
After your meeting ends, Meetingz processes the recording. Once complete:
Navigate to Meetings → Library in the left nav.
Find your meeting and click to open it.
Review the AI-generated summary, watch the recording, and read through the transcript.
Processing typically completes within 90 seconds.
What's next?
Try Upload to add a past meeting — upload an audio file, video file, or transcript from Quick add meeting on the Dashboard (see [Uploading a Meeting])
Try Chat to ask questions about your meeting content
Set up Vocabulary to improve transcription accuracy for your team's specific language (plan-dependent)
Explore Billing & Plans if you need to upgrade for additional features or recording hours
