How does the Meetingz.ai bot join a meeting?
Invite the bot to your meeting using its email address, exactly as you would invite a human attendee. Add it as a guest or invitee in your calendar event. The bot will join automatically at the scheduled meeting time.
Where do I find the bot's email address?
The bot email is shown in two places:
The Teamspace info card on your Dashboard
The Bots tab in Teamspace Settings → Bots
Which meeting platforms does the bot support?
Meetingz.ai currently supports Google Meet, Microsoft Teams, and Zoom.
What does the bot look like in a meeting?
The bot joins the meeting as a participant displaying the name configured in Teamspace settings. It will be visible in the participant list.
Will attendees know they're being recorded?
Yes — the bot is visible in the participant list and its name can be configured to make its purpose clear. It is your responsibility to inform meeting attendees that recording is taking place, in accordance with applicable laws and your organisation's policy.
The bot didn't join my meeting. Why?
Common reasons include:
The bot's email address was not added to the calendar invite
The meeting platform had a waiting room enabled and no one admitted the bot
The meeting was cancelled or rescheduled after the invite was sent
The bot was deactivated before the meeting
Failed meetings show a Failed status on the Dashboard, that meeting's detail page, Library, and All Meetings. From the meeting's detail page, click Force Join to send the bot in again.
My meeting platform has a waiting room. Will the bot be stuck there?
The bot cannot admit itself from a waiting room. Someone with host or co-host privileges needs to admit it. Consider disabling the waiting room for meetings where the bot is invited, or designating someone to admit it at the start.
Can I invite the bot to recurring meetings?
Yes. Adding the bot email to a recurring calendar event will invite it to every occurrence.
Can I have more than one bot?
Not within a single Teamspace. Each Teamspace is automatically provisioned with one dedicated bot, and that bot can attend multiple meetings concurrently, so there's no need for more than one. If you need a bot for a different team or workstream, create another Teamspace — each one is provisioned with its own bot automatically. Bots can't be created manually under any circumstances.
Can I deactivate a bot temporarily?
Yes. Click Deactivate in the Bots tab. A deactivated bot will not join meetings even if invited. You can reactivate it later.
How long does the bot stay in a meeting?
The bot stays for the duration of the meeting. If the meeting falls silent, the bot will leave after a configured silence-detection timeout. This isn't a self-service setting — email the Client Care team at support@meetingz.ai if you need your account's timeout adjusted.
