Getting Started with Meetingz.ai Overview

This guide walks you through everything you need to do to get Meetingz.ai up and running — from logging in for the first time to having your bot record your first meeting.


Step 1 — Log in

Meetingz.ai uses magic link authentication. There is no password to set or remember.


  1. Go to your Meetingz.ai URL.

  2. Enter your email address and request a login link.

  3. Check your inbox for an email from Meetingz.ai and click the link inside.

  4. You'll be logged in and taken to the Dashboard.


The magic link expires after a short period. If it doesn't work, request a new one.


Step 2 — Understand your trial and your Teamspace

When you first log in, you'll land on the Dashboard, with a welcome banner and a Get Started prompt.


Every new account starts with a 7-day free trial on the tier you selected: full feature access, with recording hours and Ask Your Meetings (Chat) usage available at 25% of your plan's normal monthly allotment for the trial week. On day 8, you're charged automatically and move to full, unthrottled usage. If you cancel before then, you're not charged and your account drops to the FREE tier instead. Your Scribe's email address — which you'll need in Step 4 — isn't on the Dashboard itself. It's available any time via the Copy Scribe link widget in the bottom-left of the navigation.


If you have access to multiple Teamspaces, the current one is shown next to the logo, with a switcher to move between them.


Step 3 — Set up your Teamspace

Before recording meetings, take a few minutes to configure your Teamspace:


  • General settings — Set your Teamspace name, description, and AI context (Teamspace Settings → General)

  • Add members — Invite your team to the Teamspace (Teamspace Settings → Members)

  • Configure email digests — Set up who receives meeting summaries after each call (Teamspace Settings → Email)

  • Set a retention policy — Decide how long meeting data is kept (Teamspace Settings → Retention)


Step 4 — Invite the bot to a meeting

To record a meeting, simply invite the bot to it via your calendar:


  1. Open your calendar (Google Calendar or Microsoft Outlook).

  2. Create or open the meeting you want to record.

  3. Add the bot's email address as a guest or attendee.

  4. Save the event.


The bot will join automatically at the scheduled meeting time. Supported platforms: Google Meet, Microsoft Teams, Zoom.


Step 5 — Review your first meeting

After your meeting ends, Meetingz.ai processes the recording. Once complete:


  1. Navigate to Meetings → Library in the left nav.

  2. Find your meeting and click to open it.

  3. Review the AI-generated summary, watch the recording, and read through the transcript.


Processing typically completes within 90 seconds.
